Automation

The Automation feature in TalentHunting empowers the team to optimize recruitment processes by automating repetitive tasks. By creating scheduled or trigger-based automations, your recruitment operations become more streamlined, efficient, and responsive, allowing the team to focus on high-value activities like candidate engagement and strategic decision-making.

Key Features

View Automations

  • Easily access and review all automations configured in the system.

  • Check automation details including type, status, triggers, and actions.

  • Monitor performance to ensure automations are working as intended.

Create Automations

  • Set up new automation workflows to handle repetitive tasks with minimal manual input.

  • Define specific triggers (events that start the automation) and actions (what happens automatically).

  • Choose from predefined actions or create custom workflows tailored to your recruitment process.

Types of Automations

Triggered Automations

Triggered automations are activated by specific events within the system. When the event occurs, the automation executes the predefined action(s) automatically, saving time and ensuring consistency.

Available Trigger Events include:

  • Change Opportunity: Trigger actions when an opportunity changes status. Example: Send a notification email to the hiring manager when a candidate moves to the interview stage.

  • Contact Created: Trigger actions when a new contact is added. Example: Send a welcome email.

  • Contact Updated: Trigger actions when an existing contact is updated. Example: Notify the team about updates or synchronize related records automatically.

  • Opportunity Created: Trigger actions when a new opportunity is added. Example: Send outreach emails or alert relevant team members immediately.

Example Workflow

Scenario: A new contact is created in the system.

Trigger Event: Contact Created Action: The system automatically sends a welcome email to the contact, including next steps and instructions for applying to relevant positions.

This ensures immediate engagement with new candidates and reduces manual administrative work.

Scheduled Automations

Scheduled Automations in TalentHunting allow your team to plan and execute tasks automatically at specific times or on a recurring basis. Unlike triggered automations, which respond to events, scheduled automations run according to a set schedule and are ideal for actions that need to occur regularly or at designated intervals.

Key Features

  • Timed Execution: Run automations daily, weekly, monthly, or at custom intervals.

  • Predefined Filters: Apply automations only to specific candidates, opportunities, or other data based on your chosen criteria.

  • Recurring Tasks: Automate repetitive tasks like reminders, updates, or notifications without manual intervention.

Available Scheduled Actions

1. Send Emails

  • Schedule emails to be sent automatically to candidates, recruiters, or other stakeholders.

  • Customize messages based on filters such as candidate status, position applied for, department, or recruitment stage.

  • Ensure timely communication without requiring manual effort.

2. Update Opportunities

  • Automatically update opportunity records based on predefined filters.

  • Examples include updating candidate status, marking opportunities as inactive, or moving them to a different stage.

  • Keep your recruitment pipeline accurate and up-to-date without manual input.

Example Workflow

  • Scenario: Automatically mark opportunities as “Lost” if they have not been updated for a certain period.

  • Scheduled Action: Update opportunity status to “Lost”

  • Predefined Filter: Opportunities not updated for more than 60 days

This ensures that your pipeline stays current and inactive opportunities are flagged automatically, improving reporting accuracy and workflow efficiency.

Benefits of Scheduled Automations

  • Consistency: Automations occur on time, every time, reducing the risk of missed actions.

  • Efficiency: Save time by handling routine updates and communications automatically.

  • Pipeline Accuracy: Keep opportunities, tasks, and candidate statuses up-to-date without manual effort.

  • Scalability: Easily manage large volumes of candidates and opportunities without increasing workload.

Benefits of Automation in TalentHunting

  • Enhanced Efficiency: Automations eliminate repetitive manual tasks, allowing your team to focus on higher-priority activities such as engaging with candidates and making hiring decisions.

  • Consistency: By automating key processes, you ensure that all actions—emails, updates, notifications—are performed consistently and reliably.

  • Improved Communication: Automations help maintain timely communication with candidates, reducing delays and improving their overall experience.

  • Time Management: Scheduled automations allow you to plan ahead, so tasks like sending follow-up emails or updating opportunities occur automatically without manual intervention.

  • Productivity: Free recruiters to focus on high-value activities rather than manual follow-ups.

  • Accuracy: Reduce human error by standardizing routine processes.

  • Scalability: Easily scale your recruitment operations without increasing manual workload.
